Setting Up the Organisation

After you buy a Business plan, the page you return to says when the free trial ends and that nothing was charged today. Continue to set-up opens the set-up in the business portal, signed in with the account you bought with.

If this browser was last signed in to another account, or to none, the business portal asks first: Continue as followed by your address. Choose Not me when the address is not yours. Nothing is then signed in.

The set-up mail links to the same place. If you open it in a browser that is not signed in, you sign in once and land on the set-up.

The set-up has up to five steps. You can repeat every step. Back returns to the previous step and saves nothing. You can leave at any time, and the set-up remembers where you stopped.

  1. Identity. The organisation’s name, its public address and the language of its codewords. The address is optional and has its own button. This step also asks you to accept the terms of service, the privacy statement and the data processing agreement, where their current version is not accepted yet. If the portal cannot check which documents are outstanding, it says so and offers Try again. Continue stays off until the check works.
  2. Branding. An uploaded logo (PNG, JPEG or WebP, up to 1 MB), a colour and one sentence for your customers. This step appears only when your plan includes custom branding.
  3. Demonstration. A separate demonstration organisation, where you can run one full verification on your own. You remove it in Settings.
  4. People. Invite colleagues by e-mail address. The step shows how many of your plan’s seats are in use.
  5. Done. Links to the Overview and to the app. Choose Finish to close the set-up.

Everyone you invite gets what your plan includes. The set-up writes nothing into the default group, because a group can only narrow what the plan allows. It can never add to it. If some people need less, narrow it later in Organisation and Groups.

Until everything is done, the Overview shows a checklist with five rows. The server checks each row against what really happened:

  • Name and language: the first step of the set-up is complete.
  • Invite your team: someone other than the owner is a member or is invited.
  • Install the app: you signed in to the app on a phone or a computer.
  • Connect with a colleague: in the app, switch context to the organisation with the name at the top of the screen, then tap Connect with your team and choose a colleague.
  • Compare the codeword with a colleague: compare the codeword the next time you talk. It counts for both of you, whoever records it.

The last three rows are your own steps. The checklist disappears when every row is done. Only roles that may manage people see it.

An organisation that skipped the set-up has not accepted the data processing agreement. Until it does, the business portal shows a notice above every page to members who may manage people. You cannot dismiss it. Tick the box and choose Accept.

In the last four days of a free trial, the owner sees a notice with the date the trial ends and the amount charged on that day. You keep or cancel the plan under Plan & billing. See Plan and Billing.
